Quote
Quotes can be created on matters and issued to clients in advance of services rendered.
Multiple quotes can be associated with a particular matter, but only one can be marked as "active". The active quote is used to populate the next invoice.
Quotes can be created from templates, which are associated with the workgroup. Users with sufficient permissions can also convert an existing quote into a template for future use.
Quotes cannot be created on administration matters.
Properties
Quotes have the following properties:
- Date when the quote was prepared
- Bill-to contact to whom the quote is addressed
- Scale (along with the date that determines which rates to charge)
- Whether to charge sales tax (GST)
Quote Items
A quote consists of one of more line items, which can be any of the following:
- Product - Represents a legal service or key deliverable (e.g. Affidavit) that is expected to be billed.
- Disbursement expected to be incurred on the matter.
- Discount, expressed as either a fixed amount or percentage of the total.
- Other items of an arbitrary nature, e.g. material goods.
Discounts
Discounts do not apply to disbursements, and therefore cannot exceed the total less these items.
The sales tax component of a discount is calculated pro-rata (such that a 100% discount would have a sales tax component equal to the sum of tax charged on all other eligible items).
Surcharges
Quotes can include surcharges, by changing the options for an "other" item from a fixed amount to a percentage of the total. As with discounts, surcharges do not apply to disbursements, however surcharges can be subsequently discounted.
Surcharges do not compound; therefore, adding multiple surcharges is equivalent to adding a single surcharge equal to the sum of their percentages.
