Disbursement Type

In ContactsLaw, a disbursement type represents a cash or non-cash disbursement that is frequently incurred by the business.

Disbursement types serve two main purposes:

  • Allowing the disbursement to be included in quotes
  • Pre-filling details when the disbursement transaction is recorded

In some cases, the system can use disbursement types to record transactions automatically, for example when processing external orders.

Properties

Disbursement types have the following properties:

  • Description
  • Optional category (for grouping similar types of disbursements)
  • Type - One of the following:
    • Cash - A cash disbursement, which is simultaneously incurred and paid
    • Creditor - A non-cash disbursement posted to a creditor
    • Other - A non-cash disbursement posted to an account
  • Workgroup to which the disbursement is limited* (if any)
  • Payee, creditor or account to which the disbursement is posted
  • Charge policy which determines the amount of the disbursement

* When a disbursement type is limited to a particular workgroup, it can only be used on matters belonging to that workgroup (or child workgroups).

Charge Policies

Similar to products, disbursement types may be subject to different charge policies depending on when the disbursement is quoted/incurred. Policies can be configured to be effective during a particular period only, as well as forward-dated to take effect in the future.

The following types of charge policies are supported:

  • Fixed amount - The disbursement is always the same amount, with a particular sales tax (GST) component
  • Formula - The disbursement is calculated using a formula, which can leverage details from the matter. Sales tax is a percentage of the calculated charge.
