Time Record

A time record represents a discrete unit of work performed by one or more members.

Properties

Time records have the following properties:

  • Date and time when the work commenced
  • Short description that appears on itemised invoices
  • Matter on which the work was performed (this can be left blank, but the time is not billable until completed)
  • Notes (in Markdown format)
  • Product used to categorise work for billing purposes
  • Subject of the work (e.g. a particular document or other item)
  • Related contacts and/or documents

Each line item has the following properties:

  • Member whose time is represented
  • Whether the member's time is chargeable
  • Number of minutes recorded (rounded up)

Creating

Depending on the configuration of the subscription or business, performing some activities will cause time records to be automatically created.

Time records can also be manually created.

Billing

Time records are expressed as a total duration (in minutes); they do not have an intrinsic billable value. It is only when a scale is applied (either by inclusion in an invoice or manually for reporting purposes) that a charge is calculated.

Depending on the product that a time record is associated with, this value may be billed "as recorded" or marked up/down to align with the charge policy. The sales metric apportions time on a pro-rata basis.

Once a time record has been billed, it cannot appear on any subsequent invoice.

Chargeability

Individual line items on time records can be marked as "non-chargeable" ("N/C"). This causes the line item to be ignored by the product's charge policy. If the charge policy is "as recorded", this reduces the amount charged. The line item still appears on invoices and its nominal recorded value remains unchanged.

This makes it possible to indicate to clients that work was carried out, but was not charged.

Units

By default, time records are charged on a per-minute basis. You can set a policy to charge in units (6-minute units are common) if desired. As with the amount charged, the number of units is only calculated when a scale is applied.

If the effective number of minutes per unit is a value other than one (1), the number of units will be displayed in addition to the duration of each line item.
